Hiawassee United Methodist Church                  Date: January 21, 2010

ADMINISTRATIVE COUNCIL MINUTES

 The meeting was called to order by Steve Scarborough.  Steve welcomed the new Council members and thanked the departing members for their service.

 Steve gave a devotional based on Revelations, Chapter 21.

 Jim Blair opened the meeting with a prayer.

 The minutes from the October 15,2009 meeting were reviewed and approved.

 Treasurer’s Report  - Jane Carter

Copies of last years budget and expenses were furnished to the members.  Jane said this report was a year-to-date report through December 2009. Line items were discussed, and the report was approved.  Dale Gardner did ask about the ($85,200) amount that was shown.  Gene Jackson explained that that was spent out of designated funds.  The result is a software problem.  Gene stated that we had actually spent only 90% of the budget.  Our cash position was a plus $4,000 over last year.

Finance Committee  - Gene Jackson

2009 ended on a very positive financial note for the church.  Contributions in November and December offset most of the deficit we had at the end of October.  General Budget income for the year was $212,600, while general expenses (adjusted for budget items paid with designated) was approximately $215,600.  A difference of only $3,000.

Our total general expenses were 95% of the budget.  Most of this difference is in program/ministries that have their own fund-raisers.

Cash position for the year was a positive $4,000.  This includes a designated $5,000 for an organ.  This amount was placed in a CD.

The incredible thing, with the economy the way it is, is the response of the pledges for this year.  The pledges for the building debt retirement for 2010 are 74% as compared to 69% in 2009 and 55% in 2008.  The pledges for general budget expense are 80%.  This compares with 74% for 2009 and 57% for 2008.

As a result of these pledges, we plan to make a principle reduction on our mortgage of at least $25,000.  Praise God for a very generous church.

In conformance with the policy established by the Finance Committee and approved by the Administrative Council, the following church officials are to be designated by the Finance Committee as signatories for the two checking accounts, General Checking and Designated Checking:  J.E. Jackson, Finance Chairman, Judy Southern, Vice Chairman, Finance, Steve Scarborough, Chairman Administrative Council, Bill Scoggins, Trustee Chairman, and Jane Carter, Treasures.  These same officials will also be approved signers on the Safe Deposit Box.  The Council approved these persons as Directed by the Finance Committee.

Trustees – Bill Scoggins

Due to the fact that I was Vice-Chairman of the 2009 Trustees, I have assumed the position of temporary Chairman until our 2010 Chairman, Vice-Chairman, and Secretary can be officially elected.  This was to be done at our January 8, 2010 meeting, which was cancelled due to weather.  Attempts to re-schedule the meeting for a time prior to Ad Council Meeting were unsuccessful due to several trustees having conflicting obligations.  We have scheduled the meeting for Friday, January 22, 2010, at which time the above named positions will be officially filled.  

Please be assured that all routine maintenance and upkeep is being handled as necessary during this time.

I believe I speak for the entire Board of Trustees when I ask that you continually pray that we will handle and maintain God’s property in a manner pleasing to Him.

Worship  

Jim asked what we were going to do mid-year.  Said we were not going to invite Roy Johansen to come back again this year.  Said we were going to focus more on evangelism and missions.  Wants us doing more in the community.  Said he would be coming back to the Council at a later date.  Hope will highlight a ministry each month.  Gene Jackson asked if we needed to consider moving the youth to the Pavilion on Wednesday nights. Said they have to wait for Bible Study to conclude before they can get the room.  George Fell said he thought this was a good idea.  There was no further discussion of this.

Hope said that she had 26 people at choir practice.  Said this was normal.  Planning and Easter Musical on Psalm Sunday.  Will also sing at Ash Wednesday Services.  Said they was a chance they would be singing at Colleen Corbin’s wedding in the spring.  Said she continues to look for talented people in church.  Said the children would be next month’s Ministry focus.

UMM  - Bob Savage

Bob reported that they had had a successful year. 

UMW  - Carol Simpson

Lee Miller reported that the women would meet on Tuesday, January 26.

Boy Scouts – Richard Everhart

Richard reported that the Scouts are celebrating their 100th Birthday.  Have three boys working on their Eagle badges.  They are looking at camps for this year.  Working on scholarship programs so kids can go to camp.  Our Scout Master taking a 24 months training course.  Matt Holton, Cub Scout Master, will be taking the same training at the same time as Chad .  This summer we will have the first WEBLOWS go to camp.  Said Peyton Peace will be the featured speaker at the Blue and Gold Banquet on the 23rd.

Jail Ministry  

Steve Scarborough reported that Elaine is looking at the idea of transitioning women out of the jail.  Elaine has been donated a trailer that can be used for this purpose.  Jim feels that we are to be the hub for this outreach.  Elaine and Jim are to go meet with the Georgia Department of Corrections.  She does have seed money from outside to start. 

 Pastor’s Report  - Jim Blair

Jim stated that Chris has requested that we look into a bus for the youth.  This would be used to take them to various activities.

Jim stated that we are going to need additional Sunday school teachers for the youth so they can be reorganized by age.

Jim stated that Jennifer Perren wants to put together a College group to meet for Sunday school in the Pavilion.  We will need teachers for that.

On Ash Wednesday Jim will start a new program for 40 days regarding discipline in our lives.  

Planning Men’s Enrichment Workshop.  Will start the first week in March at the Hinton Rural Life Center .  Let Jim know if you are interested.

We need some more visitation teams.

Health of the church members seems to be improving.  Dick Fields has gone back to his home.  Delbert Yates can no longer drive.  We need to make sure we keep in touch with both of these people and do what we can to help them.

New Business

Steve reminded everyone of the Planning Conference that is to be held at the church on Saturday, January 30, at 9:00 a.m. Steve talked about kids here in Towns County going to school with no coat to wear and very little food to eat outside school.  Wants to see if we can’t mobilize churches to take care of this need and to participate in a program to pack bags of food for the kids to take home with them for the weekends.  Steve intends to contact a church in Chatsworth to see how their program works.

 The meeting was closed with a prayer.
